Use notes

To display information about a particular patron, copy, or item, you can attach notes to the record. When a note exists for that patron, copy, or item, a note icon appears next to the barcode whenever you retrieve a patron, copy, or item in Circulation. You can read the text of the note by clicking the barcode number or switching to Patron Status, Copy Status, or Resource Status.

If you flag the note as important, the message appears automatically at the top of the page whenever:

  • You first retrieve a patron in Circulation or in Back Office > Manage Patrons > Patron Status.
  • You first retrieve a copy in Circulation.

When accessing the patron, copy, or item on subsequent pages, the important note does not appear.

For resource items, the message appears automatically at the top of the page whenever you retrieve an item in Check Out Resources or Check In Resources. It is always available in the Circulation Notes section of Resource Status in Circulation.

To create notes

  1. For a patron, retrieve their record in Patron Status in Circulation.
For a copy, retrieve the record in Copy Status in Circulation or Add Copies or Edit Copy in the Catalog.
For a resource item, retrieve the record in Resource Status in Circulation.
  2. Scroll to the Notes section.
For resource items, scroll to the Circulation Notes section.
  3. Click Add Note, and then type in the text. You can enter up to 1000 characters.
  4. To flag the notes as important, select the Display this note whenever … check box.
(Only available for patrons—not resource items—in Resource Manager)
  5. Click Save Note when you are done.

A flag icon appears adjacent to an important note.
To clear the flag, clear the check box, or click Hide note in the alert message.

In the record, multiple notes appear in date added/updated order, with the most recently created or modified one appearing at the top of the list.

To edit a note, click the edit icon.

To delete a note, click the delete icon.

You can delete patron notes globally, by barcode, or based on a list you create, on the Delete tab of Update Patrons in the Back Office.

Destiny® automatically deletes patron notes when transferring patrons if your Destiny Administrator has selected the Clear patron notes when transferring patrons on the Edit <district> page.

To use notes

Use a regular note to inform the staff of non-critical information about a patron, such as a reminder that the patron is looking for literature about organized bicycle rides in Iowa or traveling with chickens.
For copies, you can note that something is unique about a particular copy. For example, the author signed this copy, or it needs to go to the bindery.

Use an important note to alert staff to special issues regarding individual patrons, such as having a large fine or a change in borrowing privileges. For copies, use it to alert the staff to special issues regarding the copy's circulation. For example, a CD is included and needs to be verified on checkin, or the copy needs to be reshelved with a special collection.

Copy notes are not searchable in the Catalog.
